Did You Recently Request a Copy of Your Medical Records?
If you answered “yes,” then this page explains why you are receiving an invoice from us.
HealthPort® provides a service on behalf of your hospital, physician or group practice to process and fulfill your medical record request (known in the healthcare industry as the release of information (ROI) process). Your hospital or group practice has engaged HeathPort Release of Information services and/or technology for this purpose.
How is HealthPort involved?
A trained HealthPort Specialist digitally captures your protected health information (PHI) from the facility’s electronic or paper medical record through our confidential and secure technology platform. Your PHI is then digitally transmitted to our centralized ROI processing center, where it is packaged and mailed or electronically sent to you, in a HIPAA-compliant format.
Why did I receive a bill?
Due to the strict procedural and highly regulated steps involved in the release of information process there are associated costs; therefore, there is a fee for this service based on regulated rates, which vary from state to state. If there is no state statute or law in the state you reside in, HealthPort sets a reasonable fee for the service provided in accordance with HIPAA guidelines. These rates should be posted at the facility where you made your medical records request.
HealthPort is under contract with your facility to ensure the compliant exchange of your PHI through our release of information services. We are also committed to providing you with your requested medical record in an efficient and highly secure manner. We want to make sure you understand the process in which your records are provided and the costs associated with obtaining them.
